Who we are
DTA Trading Ltd, trading as Goldlinks Fine Jewellery and Goldlinks by Daniel, is responsible for the personal information we use to operate Goldlinks and fulfil your orders. Contact us at orders@goldlinks.co.uk, telephone 0161 823 6644, or by post at DTA Trading Ltd, PO Box 23, Manchester, M25 0PE, United Kingdom. Our website is hosted on Shopify.
Information we collect
Depending on how you use our services, we collect your name, billing and delivery addresses, email address, telephone number, order and payment-status information, account details, product preferences and correspondence. For bespoke enquiries, this may include ring sizes, budgets, design requirements and photographs or inspiration images you choose to supply. Please avoid sending unnecessary personal information about other people.
When you browse our website, Shopify and enabled services may collect device and browser information, IP address, pages viewed, interactions and cookie or similar identifiers. Payment providers process the payment details you give them; we receive the transaction information needed to administer your order. We obtain information directly from you, from your use of our services, and from payment, delivery and other service providers involved in your transaction.
Why we use information and our lawful bases
We use information to respond to enquiries, prepare quotations, take and fulfil orders, arrange delivery, administer payments and provide returns and after-sales service. Our lawful basis is performance of a contract with you, or taking steps at your request before entering one.
We use relevant records to meet accounting, tax and other legal obligations. Our lawful basis is compliance with those obligations.
We also use information where necessary for our legitimate interests in operating and securing our business, preventing fraud, resolving disputes, keeping proportionate business records and improving customer service, provided those interests do not override your rights. Where cookies or marketing activities require consent, these legitimate interests do not replace that consent.
For optional electronic marketing, we rely on your consent or, where all legal conditions are satisfied, the existing-customer exception for our own similar products. Where that exception applies, our data-protection basis is our legitimate interest in keeping customers informed about relevant jewellery. You can object or unsubscribe at any time.
Marketing choices
You can unsubscribe using the link in a marketing email or by contacting us. Buying from us does not require you to agree to optional marketing. Order confirmations, delivery updates and messages needed to fulfil an enquiry or order are service communications, not marketing preferences.
Who receives information
We share information relevant to providing our services with Shopify, payment providers, delivery companies and service providers supporting customer communications, reviews, analytics and website functions. Enabled services include Klaviyo for email communications, Judge.me for reviews, Microsoft Clarity for website analytics, and Shopify Inbox for customer chat. The information shared depends on your interactions, the services used and applicable privacy choices. Where a supplier needs information to fulfil or personalise your jewellery, we share only what is necessary.
We may also share relevant information with professional advisers, authorities where legally required, or parties involved in a business sale or restructuring, subject to appropriate protections. Reviews you submit for publication and any display name you choose may be visible publicly. If you contact us through WhatsApp or another external platform, that platform also processes information under its own privacy terms.
Cookies and similar technologies
Cookies and similar technologies can support checkout and security, remember preferences, measure website use and support marketing. Technologies strictly necessary to provide a service you request may be used without consent. Consent is required for advertising tracking and other technologies unless a legal exception applies. Any analytics exception must meet its legal conditions, including information and an opportunity to object where required.
Use any cookie or customer-privacy controls displayed on the website to make or change your choices. You can also contact us about privacy choices and use your browser settings to manage cookies. Blocking essential cookies may affect checkout or other functions. Browser settings do not replace any consent that the law requires us to obtain.
Information processed outside the UK
Shopify and other service providers may process information outside the UK. Where UK law requires safeguards for a restricted transfer, the applicable arrangements may include UK adequacy regulations or approved contractual safeguards such as the UK International Data Transfer Agreement or UK Addendum, as appropriate to the provider and transfer. Contact us for information about safeguards relevant to your data.
How long information is kept
We retain information only for as long as needed for the purpose for which it is used. Accounting and transaction records are kept for the applicable statutory retention period. Order and after-sales records may also be needed for warranties, disputes and legal claims. Enquiry records are retained for the period needed to respond and manage follow-up; marketing records while relevant consent or another lawful basis continues, subject to review. We may retain minimal suppression details to honour an unsubscribe request. Retention depends on the record’s purpose, applicable legal obligations and any ongoing complaint or claim. Contact us for details relating to a particular record.
Your rights
Subject to the conditions and exceptions in UK data protection law, you may request access to your personal information, correction, erasure, restriction of processing or transfer of information to you or another provider. You may object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you can withdraw it at any time without affecting processing already lawfully carried out.
Contact us using the details above to exercise your rights. We may need information to verify your identity. Requests are normally free and answered without undue delay, usually within one month, subject to lawful extensions and other applicable rules. We do not impose a standard £10 access fee.
You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113. We would also welcome the opportunity to address your concerns directly.
Security and required information
We use appropriate technical and organisational measures to protect personal information. No internet transmission or storage system is completely secure. If you do not provide information needed to prepare an enquiry, process a payment or fulfil an order, we may be unable to provide that service.
Children
Our purchasing and enquiry services are intended for adults. Please do not send unnecessary personal information about children when buying gifts. If you believe a child has supplied personal information improperly, contact us so we can investigate.
Changes to this policy
We may update this policy to reflect changes in our services or legal requirements. The date above shows the latest update; we will provide additional notice where required.
